Optimizing Public Works: El Paso County’s Integration of Trimble Cityworks with NewEdge Services

El Paso County, Colorado, faced a significant challenge in streamlining and optimizing its public works operations. The county’s original approach involved managing roadways, drainage, traffic, engineering and MS4 tracking through multiple disparate applications. This fragmented asset management strategy resulted in inefficiencies, particularly when generating comprehensive reports, as public works staff had to access and query multiple systems to compile accurate data.

Recognizing the need for a consolidated and centralized system, El Paso County partnered with NewEdge to implement Trimble Cityworks AMS, a GIS-centric asset management solution. The successful adoption and implementation of this solution, along with other essential applications like 3Di for citizen engagement and Utilisync for 811 requests and MS4 inspections, highlights the achievements and collaborative efforts of both NewEdge and the county. Since April 2023, all systems have been hosted in the NewEdge Cloud Environment, ensuring reliable and secure access. This project also earned El Paso County and NewEdge recognition as premier clients at the recent Trimble Innovate User Conference.

Challenge

Before adopting Trimble Cityworks, El Paso County struggled with fragmented data and workflows spread across multiple systems, leading to reporting challenges and reduced operational efficiency. Public works staff had to navigate multiple applications to gather accurate operational data, resulting in time-consuming and error-prone processes. The primary goal was to replace these disjointed systems with a unified solution that could streamline workflows, centralize asset data and enhance operational efficiency.

El Paso County partnered with NewEdge, a Platinum Trimble partner, to implement Trimble Cityworks. The goal was to create a cohesive system that would enhance asset management capabilities while seamlessly integrating with existing applications to eliminate communication and data silos.

Implementation and Integration

The implementation of Trimble Cityworks involved several critical steps, including the integration of key applications to enhance the overall system's functionality. These integrations included:

  1. 3Di for citizen engagement: This application improved communication between the public works department and residents, allowing for improved service request management and feedback.
  2. Utilisync for 811 requests and MS4 inspections: This integration streamlined the process for handling 811 requests and managing MS4 inspections, ensuring compliance and efficiency.
  3. Trimble Pavement Express and Trimble e-Builder: These solutions are being implemented to enhance pavement management and capital improvement project (CIP) planning.

Results

The adoption of Trimble Cityworks has brought significant enhancements to El Paso County's public works operations. Key benefits include:

Streamlined Service Requests and Work Orders: The unified system allows for more efficient management of service requests and work orders, reducing response times and improving service quality.

Comprehensive Work History and Asset Tracking: The ability to track work history and assets in a single system provides improved visibility and management of public works resources.

Enhanced Communication with Residents: The 3Di citizen engagement application has facilitated improved communication with residents, allowing for more effective management of service requests and feedback.

Centralized Reporting: With all data consolidated into a single database, reporting has become more accurate and efficient, reducing the time and effort required to generate comprehensive reports.

Secure and Reliable System Hosting: Hosting in the NewEdge Cloud Environment helps ensure that data and applications are secure and accessible, which, in turn, supports reliable public works operations.

GIS Integration: Operation and maintenance workflows are now seamlessly integrated with the County’s Esri ArcGIS system, creating a comprehensive asset management system that leverages spatial data and analysis.

Looking Towards the Future

Moving forward, El Paso County remains dedicated to delivering the highest quality service to its community. With ongoing support from the NewEdge team, the county is refining existing solutions and embracing new asset lifecycle management technologies to further boost operational efficiency. Future goals and initiatives include:

Trimble Cityworks, Trimble e-Builder, Trimble AgileAssets, AWS, and Esri Integrations: NewEdge will continue to support the integration of these applications to create a holistic asset management system.

Trimble Pavement Express: In collaboration with TransMap, NewEdge is involved in the adoption and configuration of Trimble Pavement Express for improved pavement management.

Trimble e-Builder for Capital Improvement Planning (CIP): NewEdge is providing consultancy services for the implementation and integration of Trimble e-Builder, enhancing the county’s capital improvement project planning capabilities.

Esri Velocity Integration: NewEdge and El Paso County are working together to integrate Esri Velocity, facilitating the management of the county's fleet through automatic vehicle locating (AVL).

The strategic collaboration with NewEdge and the adoption of Trimble Cityworks have proven highly successful. El Paso County now operates within a centralized, robust asset management system, significantly improving overall operations and maintenance activities while enhancing community engagement and communication. With ongoing support and a variety of future initiatives, the county is well-positioned to provide safe and dependable public assets for years to come.
